Terms, Conditions and General Information for Exhibitors
Trade show hours are 7:00 AM to 5:00 PM on March 5th and from 7:00 AM to 4:30 PM on March 6th in the Manitoba Room in the Keystone Centre (1125 18th Street, Brandon, MB).
One pass is included as part of the exhibitor package and additional passes are included for sponsors. Discounted passes can be purchased on-line at www.prairieorganics.org, prior to January 15, 2020. Check your sponsorship category to see if you are eligible for more free passes.
Booth Sizes and Furniture
10’ x 10’ booths include an 8’ table, 2 chairs, table lines, and side and back drapes. The 10’ x 20’ booths include these items, along with an additional 8’ table. The 30’ x 30’ equipment booths are unfurnished, although exhibitors can make a special request to us for a dressed table and chairs. Easyhome in Brandon rents out some furniture items. Partner, Combine Harvester, Diamond Harrow and Rotary Hoe sponsors receive free power hook ups. Power is available for $20 in any booth location, but only for exhibitors that have indicated in writing by January 15, 2020 that they will require power.
If you register early, we will try our best to accommodate requests for specific booth locations, although our sponsors will receive priority for booth positions.
Set Up / Tear Down
The Manitoba Room will be open for set up Wednesday, March 4th. Equipment exhibitors in 30’ X 30’ spaces are asked to set up between 8:30 and 11:30 AM. Exhibitors in 10’ x 10’ or 10’ x 20’ booths can set up between 12:00 PM and 8:00 PM. Vehicles will be allowed to unload materials only between these hours on the 4th. If setting up on March 5th, please ensure that your display space is set up by 8:50 AM as the show begins at 9 am. No vehicles will be allowed in the Manitoba Room on the 5th as the aisle carpets will already be laid out. If you require access to a forklift, please contact us or write a note on the application form.
Vehicles unloading equipment and other exhibit materials can temporarily pull up to the truck bays on the southeast side of the Keystone Centre to the north of the Main Entrance. See facility map on the conference website.
Move out on March 6th will begin after the red carpet has been rolled up after 4:30 PM on the final day of the show. Trade show materials must be removed from the venue no later than 8:00 PM on Friday, March 6th. Machinery exhibits must be removed by 9:00 PM on March 6.
Booth/Machinery Display Location
Volunteers will be available to help assist and direct you to your booth location on the 4th. There will be trollies at the loading doors to help bring exhibit materials into the facility, along with volunteers to assist in carrying materials. Please note that Display Manitoba would like you to refrain from pinning and stapling materials directly onto the curtains. If using zip ties or wires to hang posters or banners, you will need to remove them after the show.

Exhibitors must have their own insurance (minimum $2 million liability) in order to exhibit at Prairie Organics. Please address the copy of your liability insurance to the following:

Prairie Organics is not responsible for any materials lost, misplaced, damaged or stolen during the tradeshow. Security is not provided. Please remove any valuables when your booth is left unattended.
Wireless Internet is available for exhibitors during the trade show, but the service is too slow to stream video. Exhibitors who require higher speed internet must order hard-wired service by filling out Keystone Centre Broadband Internet Service on-line form Cost is $300 and the form must be received two weeks prior to the event.
Where to Stay in Brandon
We are able to offer a conference rate at Canad Inns Destination Centre to exhibitors. The hotel is attached to the Keystone Centre. Please reserve by January 31, 2020, but be aware that this hotel sells out quickly. More details and other hotel options -------are available on the conference website.
